Here at Bentley Project Management we are committed to being transparent about the range of personal data we collect and how we handle that data. This part of our website provides information on that.

We keep personal data for 4 broad sets of individuals:

  • Professional contacts
  • Staff

Clients and suppliers

The Personal Data we hold and its purpose
We hold name, address and contact details and, where relevant, bank account details. Whilst much of this data is your professional data (such as work place address), occasionally we hold data that is deemed to be personal, such as contact details not associated with your work place.

This data is held and processed in order to carry out our contractual obligations with you, such as delivering a service or invoicing for services delivered. Accordingly we are processing your data on the lawful basis of contract

Who has access to your data and its use?
Your data is held securely within systems wholly owned and operated by Bentley Project Management. Where relevant to the transaction, your data is passed to our bank in order that payments can be made; otherwise it is restricted to our employees.

Staff Data

The Personal Data we hold and its purpose
The following staff data is held:

  • Your name, address, contact details and sensitive data such as date of birth and gender;
  • Your terms and conditions of employment;
  • Details of your professional qualifications;
  • Information about your salary and entitlement to wider benefits, including pension or insurance cover;
  • Information about your marital status, next of kin, dependents and emergency contacts;
  • Details about your bank account and national insurance number;
  • Details about absence, including all categories of leave and sickness absence;
  • Details relating to your performance in the pursuit of your contract and any issues of professional grievance or discipline;
  • Information about medical conditions and any adjustments made in respect of those.

This data is held and processed in order that we can:

  • Administer payroll, pension and other standard employment functions;
  • Fulfil and monitor our statutory responsibilities including health and safety;
  • Support your training, development and wellbeing requirements;
  • Communicate effectively with you and your emergency contacts.

Who has access to your data and its use?
Access to your data is restricted to members of the Bentley Project Management Board and the Office Manager and is held securely within systems wholly owned and operated by Bentley Project Management. Occasionally it is necessary to share your data:

  • To our accountant for the provision of accounting services;
  • To our payroll supplier in order to pay your salary;
  • Relevant Government departments including Her Majesty’s Revenue and Customs;
  • On occasion and where necessary to the police, other law enforcement agencies and auditors.

Applicant Data

The Personal Data we hold and its purpose
Your personal contact details and details of your qualifications and work experience are collected.

This data is collected in order to assess your suitability for employment. Accordingly we are processing your data on the lawful basis of our legitimate interest.

Who has access to your data and its use?
The use of your personal data is restricted to employees and Board members of Bentley Project Management and is shared only with those directly involved in assessing prospective and job applicants. If you become an employee your data is transferred into our staff systems as set out elsewhere in this document. If you do not go on to become employed by us, your data is destroyed within 3 Months.

What are your rights?

Under Data Protection law you have the right to:

  • Require incorrect or incomplete date to be changed;
  • Stop Bentley Project Management processing your data where the data is no longer necessary for the purposes of processing;
  • Object to the processing if we are doing do on the lawful basis of legitimate interest;
  • You have the right to get a copy of the information that we hold about you this is a ‘Subject Access Request’. If you wish to make a subject access request please send us a request in writing to Carrie Halcarz at carrie@bentleyprojectmanagement.co.uk your request should included your full name and a separate identifier such as your mobile telephone number or address.

Being up-to-date

This Privacy Notice was updated in May 2018 and will be reviewed annually, if significant changes occur in our processes we will actively update those who are affected.
